  • Has high standards and takes initiative
  • Loves building and optimizing systems
  • Can move effortlessly between inboxes and errands, Slack channels and grocery aisles

You’ll be the COO’s right hand—keeping her organized, protecting her time, and helping her lead our team with clarity and ease.

We know not every candidate will check every box—and that’s okay. If this role excites you and you feel you can thrive in most areas, we encourage you to apply. We care more about strengths, alignment, and growth mindset than perfect fits. The role can be shaped over time around your superpowers.

  • Simplify Systems – Streamline operations and organize chaos into clarity.
  • Own the Outcome – Anticipate needs and take initiative, without waiting to be told.
  • Love the Details – From calendering to gift giving, precision and polish matter.
🧠 Executive & Administrative Support
  • Manage the COO’s email (business + personal) daily—filtering, responding, delegating, and prioritizing
  • Manage and optimize the COO’s calendar—scheduling, rescheduling, confirming appointments
  • Coordinate business and personal travel (flights, hotels, activities)
  • Communicate daily in Slack on what’s complete and what’s pending
  • Provide logistical and scheduling support for team meetings and projects
  • Manage the shared [email protected] inbox
  • Track and follow through on COO to-dos and open loops using Asana

  • Organize and maintain systems like Google Drive, Canva, and 1Password
  • Support onboarding/offboarding processes for new team members
  • Support quarterly reviews and goal tracking with the COO
  • Help implement or reinforce rituals for connection (in big and small ways) – from weekly wins in Slack and birthday reminders to planning and coordinating team retreats!
  • Help execute special projects. Former projects include: external certifications, Zoom account organization, planning team off-site, etc.
  • Pull light metrics from systems or prep reports as requested (e.g., milestones hit, task completions)
  • Create and update SOPs to make processes more efficient and scalable
🎁 Unicorn + Partner Support
  • Manage swag ordering and shipping
  • Send milestone gifts to customers monthly
  • Send thank-you or celebration gifts to partners and friends as requested
  • Help brainstorm thoughtful, creative gift ideas
🏡 Personal Life Support
  • Grocery shopping + CSA pickup (summer months)
  • Meal prep (chopping, prepping weekly lunches—if you like cooking!)
  • Light household chores (laundry, unloading dishwasher, etc.)
  • Handle mail and pay personal bills every 1–2 weeks
  • Car drop-offs (cleaning, oil changes, etc.)
  • Errands like returns, gift buying, and post office runs
  • Grooming appointments for a sweet dog and a hypoallergenic cat
  • Coordinate personal travel and calendar appointments

You might be a great fit if you

  • Love creating order and simplifying complex systems
  • Are proactive, communicative, and quick to figure things out
  • Manage up with grace—you hold others accountable (even your boss!)
  • Have experience in executive support, operations, or logistics
  • Are tech-savvy and comfortable learning tools like Asana and Slack
